Our Policy
Please read the following detailed information on some of the finest vacation rental properties in Rabun County both on the lakes and in the mountains. Our goal is to provide you with quality accommodations that will make your Georgia Mountain Rentals vacation unforgettable.
We are excited you have chosen Georgia Mountain Rentals for your vacation getaway. We want your lake or mountain vacation to be as trouble free as possible, beginning with your reservation. That's why we created this detailed policy statement. We highly recommend reading all of the following information to avoid any confusion or misunderstanding. If you have questions, or if we can be of assistance in any way, please let us know.
Your Vacation Home
The rental homes managed by Georgia Mountain Rentals, Inc. are privately owned and are decorated and furnished to suit the owner's taste and needs. Accommodations vary greatly from brand new and modern to simple and rustic. Because of variations between properties, make sure that you inquire about all of your specific needs. Do not assume or take for granted that a unit has all of the amenities you require. The following is a list of basic items you will find in all of our rental homes: heat, refrigerator, stove, toaster, coffee maker, basic pots & pans, dishes, flatware, utensils, telephone, TV, bed linens, pillows, towels, washcloths along with a starter supply of soap and bathroom tissue. Items that are NOT SUPPLIED typically include charcoal, kindling or fire starter, wood, irons & ironing boards, cribs, laundry soap, plastic wrap, foil, coffee filters, condiments, spices or any type of food item. Some homes have locked owner closets reserved for the owner's personal items. Please respect the owner's privacy in these areas.
Rates
Reservations may be booked up to one year in advance. A minimum two-night stay is required for all rentals. Our weeks run from Monday to Monday or Friday to Friday. Weekends start after 3:30 PM on Friday, until dark on Sunday night. Midweek's run from 3:30 PM Monday to Friday at 10 AM. All check-out times are 10 AM except Sunday departures, when you can leave up until dark. Prices, amenities and/or minimums are subject to change with or without notice.
Making Your Reservation
To reserve a Georgia Mountain Rentals vacation home, please call our office between the hours of 9 AM and 4 PM Monday through Friday. Our reservation number is 706-782-2772. In order to save time, please have your credit card, the dates you want to come and your property requirements available when you call. If you have chosen a property from our brochure or the Internet Brochure (www.rabunrentals.com) ALL RESERVATIONS REQUIRE A VALID CREDIT CARD NUMBER ON FILE. After your reservation is made we will immediately mail you a lease. You have ten (10) days to receive, sign, and return the lease to our office with the required payment in order to confirm your reservation.
Reservations and Other Fees
In addition to your rental charge, all reservations will be charged applicable taxes a $20 processing fee. A cancellation fee of $50 will be charged for cancellation of any reservation if it is over 1 month out. Other fees may apply for pets (only certain units allow pets), reservation transfers and miscellaneous services. Please see the sections dealing with these issues for details.
Payment
Full payment of your rent, taxes, processing fee, and cleaning fees for any reservations must be received in our office at least thirty (30) days prior to your arrival date. We request that payment be in the form of a check or money order (NO CASH, PLEASE). Please be sure to put the reservation number on the check for proper credit. For reservations made less than thirty (30) days prior to check-in, payment must be sent by a "next day" service or charged to your credit card. A $25 service charge will be added to any returned checks.
Security Deposit
In order to insure that properties are maintained and well cared for, as a security deposit hold will be placed on your credit card the day before your arrival. The hold will remain in effect for up to ten (10) days. If there are no damages, extra cleaning charges or garbage charges, the hold will be released by your credit card company. No refund will display on your credit card statement since this is simply a hold and not a sale. In the event extra charges exceed the amount of the Security Deposit, the guest(s) credit card will be charged the entire amount of all damage or extra cleaning fees. A detail of all extra charges along with picture detail will be mailed to the guest(s).
Cancellation Policy
To cancel a reservation, the lessee named on the Lease Agreement must notify Georgia Mountain Rentals in writing or of the request to cancel. If canceling with more than 30 days prior to your arrival date, there is a $50 cancellation fee. If canceling with less than 30 days prior to your arrival date, the reservation is non-refundable. Georgia Mountain Rentals will attempt to rent the unit and if successful, a partial refund will be made.
Reservation Transfer Policy and Fee
To shorten confirmed reservation dates, change dates or units, a $35 fee will be charged. The lessee named on the lease agreement must notify Georgia Mountain Rentals either in written or verbal form of the requested change and a new contract will be issued that must be signed and returned to Georgia Mountain Rentals. No reservation dates may be shortened or units changed 30 days or less prior to the original arrival date.
Check In and Late Arrivals
Our goal is to have all units available by 4:00 p.m.. Cleaning and maintenance is sometimes unavoidably delayed by seasonal traffic and/or inclement weather. If arriving after dark, it is advisable for Guests to bring a flashlight along to help locate the rental house and to aid in opening the key lock box.
Large Groups and Receptions
Our homes are to be used for the QUIET enjoyment of our guests and NOT to be used for loud or wild parties. "Disturbing the Peace" may result in eviction and/or loss of Security Deposit. Please be aware that while we allow quiet receptions, the sleeping capacity of the home cannot be exceeded and the guest(s) must dispose of any and all garbage.
Check-Out and Departure 10:00 AM
We are sorry you have to leave at all, however, we must insist on a 10 AM check-out time. (Sunday check-outs have until dark to check-out.) Leave your unit "broom clean" and in the same order as your arrival except for linens. All dishes and cookware must be washed and put away, garbage taken to the dumpster according to directions included with your check-in package and BBQ grill clean. A minimum fee of $50.00 will be charged if excessive cleaning or garbage removal is necessary. Leave lights, televisions and other appliances turned off. Leave heat set at 55 degrees or air conditioning at 80 degrees and fireplace screen or glass doors closed and secured. Leave all windows and doors closed and locked. Pile wet linen, towels, etc. on the shower floor or in the bathtub. Furnishings must be returned to their original positions. Sorry, we must insist on a prompt 10 AM check-out. (Sunday check-outs may stay till dark.) NO OTHER EXCEPTIONS PLEASE.
Housekeeping
All of our homes provide bed linens, bath towels, hand towels, and washcloths along with a starter supply of bar soap. The house is cleaned and clean linen is placed on each bed prior to your arrival. This is a "Housekeeping Unit". Daily maid service is not provided and guests are expected to launder towels, etc. as needed during their stay. It is not necessary to wash towels or bed linens prior to departure. It is a good idea to bring extra towels for swimming use. Each unit is inventoried after each use. Upon arrival report any apparent damage, housekeeping issues, shortage of furnishings or equipment immediately to the office WITHIN TWO HOURS OF ARRIVAL. Your silence indicates full acceptance of the unit and its condition. Only artificial holiday decorations are permitted and all evidence of any guest decorations must be properly disposed of upon departure. Only artificial Christmas trees are permitted.
Insects
Though units are sprayed regularly, ladybugs, wasps and other insects sometimes affect rental units. Guests are expected to vacuum or dispose of small amounts of ladybugs, flies, wasps or bees. In the event of a major infestation, the office will call maintenance or pest control to attempt to solve the problem.
Maintenance
Georgia Mountain Rentals and the property owners do everything possible to keep all equipment in good working order. However, it is impossible to guarantee that all appliances, hot tubs, hot water heaters, etc., will be in working order 100% of the time. We do guarantee to correct all deficiencies as soon as possible during normal business hours. There will be no refunds or adjustments. Report all maintenance problems to the office. If it is after hours, be certain to leave your unit phone number and the nature of the problem on the answering machine. You should take reasonable action to secure the problem. Management reserves the right to perform scheduled exterior minor maintenance and/or emergency interior maintenance during your stay with or without notice to you, however, in the event maintenance must be performed, we will do out best to do so without inconvenience to you. Some units are operated and maintained by local owners, in which case, the owner will be the contact for maintenance or housekeeping issues.
Fireplaces
Fireplaces are NOT operational from May through September. Rental Properties are not provided with firewood. It can be obtained from local markets at reasonable rates. No foreign materials are to be burned in gas fireplaces.
Pet Policy (Dogs Only)
You acknowledge that NO PETS are allowed in or on the premises unless Agent has expressly authorized such use. (Type and weight of dog has to be listed on lease or it is prohibited). Some homes allow pets (Dogs Only). There is a $25.00 per night/per pet (dogs only). Pet limits vary by house. Our No Pet homes do not allow pets anywhere on or about the premises. IMPORTANT: IF YOU HAVE A DOG AND IT IS NOT LISTED ON THE LEASE, THE UNAUTHORIZED OCCUPANCY OF PETS WHERE PROHIBITED WILL RESULT IN IMMEDIATE EVICTION AND LOSS OF ALL RENTS AND SECURITY DEPOSITS! Prior permission must be granted. Specific rules must be followed. An additional pet deposit may be required. PETS ARE NOT ALLOWED ON FURNITURE OR BEDDING.
Telephone Service
All of our homes have normal telephone service, however, in order to make long distance calls you will need a calling card with an 800 access number, a credit card or you will need to make a collect call. If calls are charged to the unit phone, the guest will be charged a $25.00 billing fee in addition to the cost of the calls.
Mail and Messages
All of our homes are privately owned and are equipped with residential telephone service. The office does not have a switchboard. Therefore, it is important that you leave the phone number for the home (located on top of your confirmation) you have rented with relatives and emergency contacts. We suggest that you bring an answering machine and/or a fax machine if you anticipate any need for these services. There is no mail service to our homes. Lost and Found
If you have left something behind, call our office and we will try to locate the missing item(s). If the item(s) is located, the cost of locating, packaging and shipping will be charged to you.
If You Are Locked Out
If you are locked out of your vacation home during business hours, please come by the office for a loaner key. After hours, if you are locked out, call our emergency pager number and we will meet you at the office with a loaner key. A $35.00 service fee will be charged.
Television
Because our units are privately owned homes, the method and level of TV service (cable, satellite, antenna) is determined by the owners and by the service that is available in the area. Premium channels are typically NOT available. Georgia Mountain Rentals assumes no responsibility for TV reception or operation and cannot guarantee that specific channels will be available. At best, satellite systems can be confusing, however, it is the only television reception that is available to many of the units we manage. We will be happy to assist you by phone to help you with TV related problems. However, if you insist that we travel to the unit to assist you and we find that the problem with the system is due to user error, there will be a minimum $25.00 charge. If television or VCR wiring is changed to facilitate use of games, etc., it must be returned to the same condition as when received.
Weather
Weather changes quickly in the mountains. You should plan your trip according to the weather. In winter, though our weather is ordinarily fine, you should come prepared with extra food, 4-wheel drive if possible and/or chains. It is also advisable that you carry a bag of rock salt in your vehicle. Please be aware that we do not refund for bad weather, no shows, early check-out and we cannot provide transportation of any kind.
Description and Brochure Errors
Georgia Mountain Rentals and our property owners make every effort to assure that all descriptions and representations from our staff in our brochure and on our Internet Site are accurate. However, we are not responsible for printing errors or changes made by owners in the furnishings or amenities. Prices and amenities and/or minimums are subject to change with or without notice.
